Using empty placeholders to update information when sending documents

Overview:

Efficiently update info when sending documents using empty placeholders! We'll teach you how to do this in this article.

 

What are Placeholders?:

  • Placeholders are a powerful feature in Omni HR that allows you to automatically fill important info in your documents by pulling data from the system. You can also use this to fill-up your documents efficiently if the field is empty in Omni HR, usually for constantly changing info such as Dates, Names, etc.
  • In any document you create in Omni HR, type the symbol "@", then a list of available placeholders will appear. This is based on the fields that are available in your employees' profiles.

 

Using Empty Placeholders To Update Document Info:

  • To start, create a Custom Field and make sure it is always empty. This Custom Field will be the empty placeholder we will use. Making sure it is empty is to ensure that you can fill this up when sending to an employee.
  • Input the placeholder in the document. In the example, it is a termination letter and the placeholder we are using is Send Date. Click Save Template.


  • Look for the document in the Internal Templates tab > Click the 3 dots at the right side > Click Send.


  • In the pop-up, input the recipient name, due date, and document name. Once you have inputted the recipient name, a blank space will appear at the right side of the pop-up, allowing you to fill in the info you want (the send date in this case).


  • Click "Apply Data" afterwards for it to reflect in the document itself. You can now click Send to forward to the employee with the updated data.
