Using workflows for performance evaluation

Overview: 

This guide aims to show how you can leverage our workflows module to conduct performance evaluations that may not be standard performance cycles. The results of the performance evaluation would be displayed under the employee's profile for further action.


For example, in the case you require to do early assessments for new hires in preparation for their confirmation or to provide timely feedback, the workflows module can help streamline this process. 


Recommended Setup

Here is our recommendation of how to setup early assessments of new hires using workflows. 


1. Configure Custom Fields for Performance Evaluation

  • Go to Field Management and create a custom section that will record the performance evaluation questions and responses. 
  • You may then add custom fields with the review questions intended for different personas i.e. self, manager, etc.


2. Create information & document request tasks for each persona to answer the evaluation

  • Go to Workflows > Templates > Tasks > Create Task Template > Information & Document Request Template
  • The goal is to setup up request for information tasks for each reviewer. For example below, one for the employee (self-review) and one for the manager (manager review)


  • In each task, customize the form:
    • Select the Probation Review custom section.

    • Mark questions as mandatory if required.

    • Use helper text to guide responses.

  • Enable or disable specific questions depending on whether the task is for the employee or the manager.

  • Click Save




3. Create the workflow

  • Go to Workflow > Create Workflow. For this use case, we are creating an onboarding workflow type. 
  • Add the self-review and manager review tasks to the workflow.
  • Set the task dependencies and triggers to ensure proper sequence and timing (e.g., self-review before manager review)



4. Manage Access Control (Optional)

  • If you wish to restrict the visibility of the custom section, you can manage this for each role under Settings > Access Control



5. Assign the workflow to the employee

  • You may then assign this workflow to your new hires as part of their onboarding, so that the system will automatically trigger and notify the employees, managers, other users, to submit their responses for the performance evaluation at the set time. 
  • Their responses will then be documented under the employee's profile.



5. Generate Custom Reports

  • Once the employees and managers have completed these tasks, admins can then generate a custom report to extract the results.
  • You can refer to Generating Custom Reports for further guidance on doing this.
