Overview:
If you are hiring new employees or just want to add new users in your Omni HR account, this article is for you. Now, when adding a new employee, you will be able to set onboarding tasks that are dependent of each other, as well as set whether the employee can sign-in with SSO.
Adding a New Employee:
- Go to People in the side bar. Click Add Employee in the page you'll be brought to.
- You'll be brought to a form where you'll input the details of the new user. It is divided into 6 steps. Let's go through each one.
- Employee details - This is where you'll input the basic information of the user. There are 4 required fields in this step — First Name, Last Name, Email (Work, Personal, or both), and Start Date. The rest are optional, or you can fill them up after creating the user.
Note: Make sure the email you want the employee to receive system-generated emails from has the star icon(indicates that it is the primary email) beside it.
- By default, only the key employee fields are shown. You may untick the button at the upper right of the page to show all the fields, which include Emergency Contact, Dependents, and custom fields.
- Compensation - You can input the compensation details of the new user in this step. If you have the payroll module, you can also enroll the user here by clicking Yes in the question and filling up the details. If you choose No, you can just input the compensation details (Type, Frequency, Currency, Amount). You may also choose to leave this blank for now.
- Time Off - Choose the work schedule for the user, along with the holiday calendar and time off types and policies. You may also choose to leave this for now and fill up later.
- Onboarding Tasks - If you have onboarding tasks set up, this is where you can assign them to the user. If you click Yes to the question, another section will show for you to assign the tasks accordingly. You may also click No to leave this for now, and assign later.
- Dependent Tasks - You will be able to add tasks, set the dependency rule, and edit its trigger conditions here. If you already have preset onboarding workflows, you can also preview and load them here.
- Invite access - You can invite your user to Omni through this step. If you choose Yes in the question, you will be asked whether you want to allow SSO Sign In and choose a role you want to assign. But if you want to invite the user later, you may choose No for now.
- Summary - You may review the new user's details here as you have the option to go back if you need to edit some details. If the information is already good for you, click Add Employee to create the user.
- The user will now be added to your employee database, and anyone who has access can view her details.
