Overview:
In Omni HR, designated users such as managers or finance administrators can submit expenses on behalf of other employees.
This feature ensures seamless expense management, especially useful when employees are unavailable or when expense submissions are handled centrally by finance or HR teams.
Before submitting an expense on behalf of someone, please ensure the appropriate access permissions are configured in Access Control.
Submitting an Expense on Behalf of an Employee:
1. Open the Employee’s Profile
- From the System Dashboard, go to People in the left-hand panel.
- Search for and open the profile of the employee for whom you’ll submit the expense.
2. Access the Expense Tab
- In the employee’s profile, select the Expense tab.
- Click Add Expense.
- An expense form will appear prompting you to fill in the details.
At the top of the form, you’ll see a notification confirming: “You are currently submitting an expense claim on behalf of [Employee Name].”
3. Complete and Submit the Expense
- Fill in all required fields (e.g., expense type, amount, and supporting documents).
- Review the details for accuracy.
- Click Submit to finalize the process.
Once submitted, the expense will appear in the employee’s expense list and follow the standard approval workflow.
