Bulk Uploading Ad Hoc Payroll Items

Overview:

You can now bulk upload ad hoc items in employees' payroll tabs. Just follow the steps below.

 

Step 1. Download/Make a copy of the template from this link.

Step 2. Fill-up the template accordingly.

 


  • Here are some things to remember about the template as you are filling up
    • For "Column A (System ID)" , you can get this by generating an employee list through the reports module. The first column in the report show the system ID of the employees.
    • For "Columns B-F, and H" , these are all required. If you miss putting in even just one of the columns, the upload will fail.
    • For "Column B (Payout month)", this should be in the format mm/yyyy
    • For "Column C (Pay type)", ensure that the pay type you'll use has been created in the payroll tab first before inputting here. You can do so by going to any employee profile > Payroll tab > Adhoc payments > New ad hoc payment > Pay type dropdown > Add New Pay Type
    • For "Column D (Earnings/Deduction)" , indicate if the payment is Earnings or Deduction.
    • For "Column E (Currency)", indicate the currency. The currency should be in the format support by the system (e.g. USD instead of $). You can check any profile > payroll tab to check the format of the currency you are about to use.
    • For "Column F (Amount)", just input the amount.
    • "Column G (Remarks)" is optional.
    • "Column H (Delete?)" is required. Since you will be entering entries for the Ad-hoc section, you can always enter here "No"
    • Finally, delete rows 1 and 2 before uploading.

Step 3. Upload the template in your Omni URL through "(company name).omnihr.co/new-import". For example, if your Omni URL is omnihr.omnihr.co, you will want to upload through "omnihr.omnihr.co/new-import". 


  • Click Import > Click the Dropdown in the pop-up > Choose "Update ad hoc payments".


  • "Drag and drop" or "click here to upload" to choose the upload template. Click Import.
  •  After a few minutes, you will receive an email through your primary email. Click the attached file to see if the upload was successful.
    • You will see "Success!" in Column A (Validation) for items that were successfully uploaded. If it failed, you will see an error message. Adjust the upload template accordingly, then try uploading again.
