Overview:
Once you have created the form templates, it is now time to create the performance cycle. See below for a step-by-step of how to do just that.
Creating a Performance Cycle:
- Go to Performance > Performance Cycles > Add New Cycle. You will be brought to a page where you'll be guided through the steps in creating the Performance Cycle.
- Input the Name Of Review Cycle and Description (Optional). After this, choose at least one individual review type you want to include in the cycle. Review types are the following:
- Self review - The employee writes a review of his/her own performance.
- Manager review - The employee's manager writes a review of the employee's performance.
- Peer review - The employee will get reviews from selected colleagues. If you choose this, you'll specify a max number of peers that can be selected to do the review.
- Upward review - The manager gets reviews from his/her direct reports.
For each of the review types, you will be able to choose a form template the employee will answer. You can choose different/same forms for each depending on the requirements.
- Next step would be to set the timelines. In this page, you'll be setting up the periods for the entire cycle and each individual review.
- For the Review Cycle Period, the start date chosen may be from the past, but the end date should be in the present or the future.
- For all individual reviews except peer review, the start and end dates should be in the present or the future.
- For peer review, since there is an additional step of peer selection, the start and end dates should be in the future. This is because peer review should happen after the peer selection.
- After setting the dates, you will now select the participating employees.
- If you chose Manager Review as part of the Review Cycle, you can only select employees with managers. For employees with no managers, the system will allow you to choose a Reviewing Manager for each. Click Next.
- If you chose Manager Review as part of the Review Cycle, you can only select employees with managers. For employees with no managers, the system will allow you to choose a Reviewing Manager for each. Click Next.
- In the final step, you can review the details of the cycle before launching. It is helpful to know that this is where you can also see what the reviewees, managers, and peers can do during and after their individual reviews via the General rules section.
- Self Review
- During the individual review cycle, reviewee can only see and do his/her own self review without seeing the manager's review. He/she will also not be able to edit after submission.
- After the individual review is closed, the reviewee can see his/her own self-review. The reviewee will also be able to see the manager's review.
- Manager Review
- During the individual review cycle, manager can see and do his/her own self review, along with seeing the reviewee's self review (after it has been submitted). He/she will also still be able to edit after submission.
- After the individual review is closed, the manager can see his/her manager review, along with the reviewee's self-review. The manager however will not be able to edit anymore.
- Peer Review
- During the individual review cycle, the peer can only see and do his/her own peer review, and will not be able to edit after submission. The manager however will be able to see the peer review (after it has been submitted).
- After the individual review, the peer can only see his/her own peer review. The reviewee can see this in anonymous mode, while the manager can see this in non-anonymous mode.
- Upward Review
- During the individual review cycle, the reviewee can see and do his/her own upward review for their manager. He/she will also not be able to edit after submission. If the manager has a manager, that manager can see the reviewee's upward review in non-anonymous mode (after it has been submitted).
- After the individual review is closed, the reviewee can see his/her own upward review for the manager. The manager can see this review in anonymous mode, but if he/she has a manager, the manager's manager can see this in non-anonymous mode.
- Self Review
- Click Launch. It will now appear in the list of Performance Cycles.
- If the Review Cycle date is in the future, the status will appear as Scheduled.
- If the Review Cycle date is in the present, the status will appear as In Progress.
- For employees enrolled in the Performance Cycle, once the date reaches the date of launch, they will be sent an email similar to below.
