Downloading Expense Report

Overview:

Downloading an expense report in Omni HR allows users to generate and export detailed expense data for record-keeping, reimbursements, and financial analysis. This feature provides flexibility in selecting the information included in the report, ensuring transparency and efficiency in expense tracking.


Prerequisite:
Before a user can download an expense report, their role in Access Control must be set accordingly. For details on configuring permissions, refer to Submitting Expenses on Behalf > Overview.


Methods to Download an Expense Report: 

There are two ways to download an expense report:

  1. Via Submissions: Navigate to Expenses > Submission > To Reimburse > Export Report. 
  2. Via Expense Tracker: Navigate to Expenses > Tracker > Download Report


Steps in Downloading an Expense Report


Option 1: Submissions Section

  1. Go to Expenses > Submission > To Reimburse > Export Report.



2. A pop-up will appear asking:

    "Would you like to include the receipts attachment in the expense report?"


3. Choose one of the following options:

  • Export With Receipts 

 includes:                                                                   

-  Individual links to receipts submitted by each employee (Receipt column). 

-  A Bulk Receipt Link, allowing you to download all submitted receipts in one file.                          

  • Export Without Receipts           

includes:                                                                   

-  Individual receipt links for each employee (Receipt column) .

-  NO Bulk Receipt Link




Option 2: Expense Tracker Section 

  1. Go to Expenses > Tracker > Download Report


  2. An Export Expense Report tab will appear. 

  3. Use filters to customize the data you want to include in the report.

  4. If you want to include bulk receipts, tick the checkbox at the lower-left corner of the tab.

  5.  Click Export to complete the process.
