Overview:
We will walk you through on how to bulk upload job history to the system. Just follow the steps below.
Step 1: Download/Make a copy of the template from this link
Step 2: Fill up the template accordingly
Here are some things to remember about the template as you are filling up:
- Column A | System ID
- You can get this by generating an employee list through the Reports module. The first column in the report shows the system ID of the employees.
- Column B | Effective date
- This column is required.
For each employee, the effective date should always be unique per event / row.
Column C | Event
- You should first check the available Job Events in the system before filling up.
- You could do this by going to your own profile > Job Section > Hover mouse over the section and click Schedule a Change > Click the Events dropdown to see the available job events.
- Please be advised that job events are fixed in the system.
- Columns D, E, F, G, and I | Company, Department, Team, Position, and Employment type
- The information here must be available in the system first before you bulk upload.
- For columns D-G, and I (not including location), you can also go to your own profile > Job Section > click Schedule a Change, and click the other dropdown fields to see the options (company, department, team, position, and employment type) available.
- If what you want to input is not available, you can add on the spot in the dropdown fields. You can also go to Settings > Field Management > Job > Select which field > see if available > if not, can add to the options.
- Column H | Location
- The only way to see and add a new location is through the dropdown field.
- You could do this by going to your own profile > Job Section > Schedule a Change, click the Location dropdown field > check if Location is already there > If not, can add on the spot.
- Column J and K | Termination type and Termination reason
- You should first check the available termination type and termination reason in the system before filling up.
- You could do this by going to your own profile > Job Section > Hover mouse over the section and click Schedule a Change > Click the Events dropdown and select Termination. From there, you may add the options on the spot. You may also go to Settings > Field Management > Job > Select which field > see if available > if not, can add to the options.
- Column L | Eligible for Rehire
- Kindly indicate 'Yes' or 'No'.
- Please be advised the options for this field is fixed.
- Column M | Remarks
- If there are additional information in regard to the termination, please feel free to input the details on the Remarks field. Otherwise, you may leave this blank.
- Column N | Delete?
- Please tag all entries / rows as 'No' for the upload to be successful.
- If you wish to delete an existing data in the system, indicate ‘Yes’.
ADDITIONAL NOTE:
- In the Job Section, it is also customizable in a way that you may add in as many fields as you wish. To add a field in the Job section, please go to Settings > Field Management > Job > Add field.
- To add the field in the file, just create another column and name the header the same way it is named in the system.
- For example, you have added a new field named "Internal Position" to the system. The file will now have an additional column named, "Internal Position".
Step 3. Upload the template in your Omni URL through "(company name).omnihr.co/new-import". For example, if your Omni URL is omnihr.omnihr.co, you will want to upload through "omnihr.omnihr.co/new-import".
Step 4. Once you're in the link, please click Import > select Update Job from the dropdown. From here, you may attach the file and click 'Import' afterwards.
Step 5. You will be receiving an email with an attached file which you may check to see if all the entries are updated / imported successfully. It will indicate 'Success!' if the row is upload successfully; otherwise, it will show the details why it did not push through. Adjust the upload template accordingly if with failed entries, then try uploading again.
