Overview:
Jira has partnered with Omni HR to aid in your Onboarding/Offboarding processes!
Integrating with Jira:
You can find Jira under Apps > Other Integrated Apps. Click the App and a pop-up will appear for you to connect to Jira.
- You can find the site name by going to your Jira webpage > copy & paste the name before .atlassian . In this case it will be omnihr.
- Once you have filled up the site name and clicked on connect, you will be redirected to another page, where you can connect OmniHR to your Jira account! (If you are already logged in to your Jira Account in your computer, it will be automatically detected. Else, login to your Jira account and connect.)
- Once the connection is successful, you will see 2 toggles in the Jira connection pop-up, which we will explain in detail for Onboarding/ Offboarding setup.
Creating Jira Ticket for Employee Onboarding:
- Toggle the Onboarding button on, and select your project and board to be used. Assignee is optional, but you may want to immediately assign to your IT Team members if they need to set up or prepare laptops for your new hire. Note: this assignee will need to exist in your Jira before you can search for them.
- Triggers — when will a new task be created in Jira?:
- Whenever there is a new employee added to Omni HR with "Not Started" Status, a ticket will be created in the Jira board, and assigned to the specified assignee so that he/she will now have a task to do in Jira.
- If you try to change the start date of any already Active employees to a future date, even though their status will turn to Not Started, this will not trigger a task to be created.
- How will the created task look like?
- As long as the new employee’s start date is in the future, an onboarding task will be created in Jira, so that the relevant assignee can complete it before the new hire joins the company.
- Below is an example of a created Onboarding Jira ticket:
- Assignee = whoever you set it up to be in the Jira Configuration modal as mentioned above.
- Reporter = the Jira account used to integrate Omni HR with Jira via the Apps page.
- If you do not want the reporter to be a single admin personnel, you can also consider creating a general admin account in Jira, and login to that account for integration, so this account will be set as “reporter” for future created tasks.
- Issue type = Task (default)
- Additional Information = Employee email, name, employee ID
Creating Jira Ticket for Employee Offboarding:
- Toggle the Offboarding button on, and select your project and board to be used. Assignee is optional.
- Below are the ways to terminate employee in Omni HR to trigger a task creation in Jira:
- via Employee Profile > More > Termination
- via Employee profile > Employment section > Fill up Last day of work
- How will the created task look like?
- As long as Last day of work is today or any date after today. Task will be created in Jira +1 day after last day of work (effective date) at around ~00:00 SGT.
- If last day of work is backdated to a past date, the task will be created in Jira after ~15 min when the information is synchronised to Jira.
- Below is an example of a created Offboarding Jira ticket:
- Assignee = whoever you set it up to be in the Jira Configuration as mentioned above.
- Reporter =the Jira account used to integrate Omni HR with Jira via the Apps page.
- If you do not want the reporter to be a single admin personnel, you can also consider creating a general admin account in Jira, and login to that account for integration, so this account will be set as “reporter” for future created tasks.
- Issue type = Task (default)
- Additional information: Employee email, name, employee ID
