Overview:
Omni now offers a direct integration with Workable, a leading Applicant Tracking System (ATS), to streamline your hiring and onboarding workflows. With this integration, hired candidates in Workable can be automatically synced into Omni's Pending Hires, saving you time, reducing manual data entry, and ensuring a seamless transition from candidate to employee.
This integration is part of Omni’s mission to centralise and simplify your HR processes—from recruitment to employee management.
Key Features of the Integration:
- Connect Workable to Omni securely using API credentials.
- Automatically import candidate details when moved to "Hired" stage.
- Review and add new hires directly within Omni’s "Pending Hires" tab.
- Avoid duplication by pre-filling employee records based on synced data.
Steps to Set Up and Use the Workable Integration
Step 1: Connect Workable from the Omni App Store
- In Omni, go to the App Store.
- Navigate to the section labeled Other Integrated Apps.
- Click on Workable to begin the connection process.
4. A configuration modal will appear requesting:
- Base URL
- Access Token
Step 2: Find Your Base URL in Workable
- Log in to your Workable account via browser.
- Look at the browser’s address bar.
- Copy the URL up to the first slash ( / ) before the word “backend”.

4. Paste this into the Base URL field in Omni.
Step 3: Generate an Access Token in Workable
- In Workable, go to Settings.
- Navigate to: Integrations → Apps.
- Scroll to the API Access Tokens section.
- Click to create a new token.
5. When prompted, ensure the following API scopes are selected:
- r_candidates
- r_jobs
6. Copy the generated token.
7. Paste it into the Access Token field in Omni.
Step 4: Enable Candidate Stage Update Sync
- After saving the Base URL and Access Token in Omni, toggle ON the setting:
- "Receive candidate stage changed updates"
- "Receive candidate stage changed updates"
Step 5: Manage Hires from the Pending Hires Tab
When a candidate in Workable is moved to the "Hired" stage:
- Omni will automatically import the following details:
- Full Name
- Email Address
- Phone Number
- Job Position
- Date of Hire
- Address (if available)
- These records will appear under the People → Pending Hires tab in Omni.
Step 6: Add the New Hire as an Employee
1. Go to the Pending Hires tab in Omni.
2. Click on a candidate to review their information.
3. Select Add Employee.
4. The system will pre-fill the employee form with synced details.
5. Fill in any additional required information (e.g., department, compensation, etc.).
6. Click Save to add the employee to your People database.
Once added, the record will move to the Done tab under Pending Hires. This marks the sync as complete.
Optional: Manually Manage Pending Hires
- If needed, you can:
- Mark an employee as added (if already created manually).
- Delete a pending hire (if the hire did not proceed).
⚠️ Important Note: Once a pending hire has been marked as "Done" (either added or manually marked), Omni will no longer receive updates for this candidate from Workable.
