Overview:
Admins are now able to bulk import new employees into the system.
- Go to Settings > General >Import
- Currently in Step 1, you will see that there is only one option: Add new employee. Eventually more options will be added into the dropdown list for bulk import
- You may download the import template in Step 2 and follow the instructions to populate the template with the employee data
Add Employee Data Template
- Here are some things to remember about the template as you are filling up:
- For "Column A, Row 1-2": Do not remove
- For "Column B-N": these are the fields for the basic employee information. Only B, D & G are required, while the other columns are optional.
- For any date columns, ensure the format is filled as DD/MM/YYYY
- For "Column P-S" can be added if you have any Custom Sections. For any new custom section columns, fill in the header in this format 'Custom Section | Custom Field' i.e. T-Shirt Size | Size.
- For the rest of the columns after i.e. Contact-Email, Contact-Phone, you may fill it in or leave it blank depending on what you wish to bulk import along with the basic information.
- Once the template is filled, you can then drag and drop the template (or click to choose the file) into the upload box and click import
- You will then receive the validation email of the import in your inbox
- In the validation email, you may refer to this column 'Import Results' to view the results
Scenario 1: If the template was filled correctly, the import results will return 'Success' message. You may also verify by looking up the employee in the employee directory to verify that the employee was added accurately.
Scenario 2: If the template had any fields with incorrect values, the import results will return specific error messages. You can refer to this error messages to correct the template, and reattempt the import.
Best Practices
- We highly recommend doing test imports with a few employee data to ensure accuracy, before proceeding with a complete bulk import
- You can always contact the support team to verify and validate the import template before proceeding with the bulk import
