Overview:
Previously, unenrolling an employee from a payroll company would remove their payroll profile, which meant:
- Past pay records and payslips were not retained
- Employees couldn’t access historical payslips from Omni
- Annual tax filing could be affected if the employee moved entities mid-year
Now, we have enhanced our unenroll employee feature to allow admins two options;
1) Unenroll (retains historical payroll profile)
2) Unenroll and delete (deletes historical payroll profile)
Currently, this feature is only available in SG, MY and HK payroll.
Employee transfer of entity with Unenroll feature : Step by Step Guide
One of the common reasons admins would need to unenroll an employee would be if there is a mid-year transfer of entities for employees. We will explain how you will be able to do a transfer of entity, while ensuring the employee's historical payroll data & payslips are retained.
1. Firstly, take note of employee's statutory details (i.e. screenshot from the payroll tab from employee profile) - this is required so that you can fill in the statutory details again after enrolment in new entity.
2. Go to Payroll > Singapore > Current Entity
3. Look up the employee, and click on Unenroll
- What this means - this will remove the employee from the current company BUT will still retain their payroll profile on the backend, meaning that historical payroll data & payslips will be retained for this company.
- If they need to be re-enrolled to this same company in the future, the records will automatically sync again.
4. You can then enroll this employee to the new entity as per usual. After enrolling, just make sure to revisit the employee's payroll tab and ensure the statutory details are filled.
Things to take note:
a) Employees transferring mid-month may have two payslips for the same month (one from each company)
b) Both payslips will appear in their Omni Payslips tab, provided profiles are enrolled and/or un-enrolled correctly
Unenroll and delete feature
If admins wish to unenroll an employee to enroll them to a new entity, and there is no need to retain the employee's historical payroll data, you can opt for this feature
Upon choosing this option:
- The employee’s profile will be removed from this payroll company in Omni; and thereafter can be enrolled in another payroll company
- All pay records and payslips associated to the employee in this payroll company will be deleted
- Employee would not be able to access payslips published from this payroll company from Omni
- Deletion is permanent and cannot be recovered
