Overview:
You can now setup custom forms for employees to submit for managers or other user approvals via Omni.
For example, if you require employees to submit a Flexible Work Arrangement request, this form can be setup with approval flows, all within Omni.
Step 1: Set Up Form Details
- Navigate to Forms → Create Form to create a new form.
- Fill in the Form Name that the employees will search for
- The following fields will be empty by default:
- Form Name
- Category (You may create new categories to organise your forms)
- Description
- The creator will be the form editor by default and at least 1 editor is required.
Step 2: Design Form Content
- Utilize the Form Builder to design your questions or sections to be displayed within the form.
- The following questions types are supported:
- Heading 1
- Heading 2
- Body text
- Short text
- Paragraph
- Multiple Choice (Single select)
- Multiple choice (Multi select)
- Date Picker
- Time Picker
- Admin can choose to duplicate a question by clicking on the duplicate icon in each element.
- To add more elements in the form builder, Admin can choose from the list shortcut form element, or click on the + icon to view ALL available form elements.
Step 3: Define availability scope
- By default, the form will be available to everyone.
- Admins can decide to only share the form with Specific groups of employees.
Step 4: Define Approval Flow
- Admin can decide who are the approvers that need to approve / reject a form that is submitted by an employee.
- By default, an approval rule will be in place for all forms — to be approved by Manager.
- Admin can edit the default approval rule or add a new approval rule
Step 5: Review & Publish
- Review the Forms setup: Form Name, Category, Description, Editors, Availability Scope, and Approval Flow
- Preview Feature: Preview the final form before launching.
- If there are any errors in any step of the form, an error will be displayed at this Step 5 for admin to fix before publishing the form.
Save Forms as Draft
- At any step in the Forms creation process, Admins have the option to save the Forms as a draft.
- Saved drafts allow Admins to:
- Pause their progress and resume editing later.
- Review and refine details before finalising the Forms.
