Answering Performance Reviews

Overview:

The performance module allows employees and managers to provide structured feedback on performance, goals, and development areas. This article outlines how to answer review questions effectively, whether it’s a self-assessment or part of a 360° review, so you can provide meaningful input that supports growth and alignment across the team.

Performance Cycle Review Personas

On Omni HR's performance module, we support 5 types of review personas. They are:

  • Self - Reviews where the reviewee provides feedback on their own performance.
  • Peer - Reviews where colleagues at the same level provide feedback on the reviewee.
  • Manager - Reviews where the reviewee’s direct manager provides feedback on their performance.
  • Secondary Manager - Reviews where another manager (other than the direct manager) provides feedback on the reviewee, often for cross-functional or dotted-line reporting relationships.
  • Direct Report (For Upward review) - Reviews where the reviewee’s subordinates provide feedback to the reviewee.


Notification of Active Performance Cycle

E-mail

Once a performance cycle has been launched, participants of the performance cycle will receive an e-mail notification regarding a pending to-do task. Participants may click on the button in the e-mail to be redirected to the performance to-do page.


To-Dos

Besides getting an e-mail notification, participants will also be notified via a red bubble on their 'To-do' tab under 'Performance'. Participants may click on the 'Take Review' button on the 'My Review' or 'Team Review' page to start the assessment.



Employee Profile

User's can also access their own performance assessment via their employee profile under the 'Performance' tab.



Self Review Cycle

When a self review cycle has been launched, participants can start their assessment by clicking on the 'Take Review' button. The participants will be redirected to the assessment page to do their assessment. On the assessment page, participants can save the progress of their response by clicking on the 'Save as Draft' button or submit their response by clicking on the 'Submit' button.



Once the participant has completed the assessment, the 'Take Review' button will change to 'View Result' where the participant can view their submitted response.



Peer Selection Cycle

When a peer selection cycle has been launched, participants can start the peer selection by clicking on the 'Select Peers' button.



A pop-up will appear where participants can type the name of their peers they would like to select.



Once the peer has been selected the button would change. If a participant wants to change their selected peer, they can click on the edit button to delete the current peer and select another peer. Note that participants can only can select another peer if the peer selection cycle is still active.



Peer Selection Cycle for Managers

When a participants has completed their peer selection, managers have the option to either overwrite the selected peer or lock the peer selection. To do so, navigate to To-Dos >Team Review and click on the edit button for the participant you wish to edit the peer selected.



In the pop up, you may click on the dustbin icon to delete the selected peer then use the search bar to search for the desired peer. To lock the peer selection, click on the 'Lock selection' slide to lock it and then click on the confirm button to save.



Peer Review Cycle

When a peer review cycle has been launched, peers can start the peer review by navigating to the 'Team Review' tab under To-Dos > Performance and clicking the 'Take Review' button on their peers.



The participants will be redirected to the assessment page to do their assessment on their peers. On the assessment page, participants can save the progress of their response by clicking on the 'Save as Draft' button or submit their response by clicking on the 'Submit' button.



Once the participant has completed the peer review, the 'Take Review' button will change to 'View Result' where the participant can view their submitted response.



Manager Review Cycle

When a manager review cycle has been launched, managers can start the review by navigating to the 'Team Review' tab under To-Dos > Performance and clicking the 'Take Review' button on their direct reports.



Managers will be redirected to the assessment page to do their assessment on their direct reports. On the assessment page, managers can view the response of their direct reports, save the progress of their response by clicking on the 'Save as Draft' button or submit their response by clicking on the 'Submit' button.



Once the manager has completed the review, the 'Take Review' button will change to 'Edit Result' where the manager can still edit their submitted response if the manager review cycle has not yet closed.



Secondary Manager Review Cycle

When a secondary manager review cycle has been launched, secondary managers can start the review by navigating to the 'Team Review' tab under To-Dos > Performance and clicking the 'Take Review' button on their direct reports.



Secondary managers will be redirected to the assessment page to do their assessment on their indirect reports. On the assessment page, secondary managers can view the response of their indirect reports, save the progress of their response by clicking on the 'Save as Draft' button or submit their response by clicking on the 'Submit' button.



Once the secondary manager has completed the review, the 'Take Review' button will change to 'Edit Result' where the secondary manager can still edit their submitted response if the secondary manager review cycle has not yet closed.



Upward Review Cycle

When an upward review cycle has been launched, participants can start the upward review by navigating to the 'Team Review' tab under To-Dos > Performance and clicking the 'Take Review' button on their managers.



The participants will be redirected to the assessment page to do their assessment on their managers. On the assessment page, participants can save the progress of their response by clicking on the 'Save as Draft' button or submit their response by clicking on the 'Submit' button.



Once the participant has completed the upward review, the 'Take Review' button will change to 'View Result' where the participant can view their submitted response.



Unlocking Responses

If a participant requests to edit their submitted response, admins can do so for an active performance cycle by clicking on the menu button on their performance cycle and then clicking on the 'Unlock responses' button. Then, select the review type and employee to unlock the response for. The participant will now be able to edit and resubmit their response.



Participant Visibility

Depending on how the performance review cycle was set up by your organization, participants may either see the response of their peers/ managers/ secondary managers immediately, after the individual review cycle has closed, after the whole performance review cycle has closed or not at all.


If a participant has more than 1 manager or secondary manager conducting the review, the performance review cycle's visibility rules will dictate whether managers can see other managers/ secondary manager's responses immediately, after the individual review cycle has closed, after the whole performance review cycle has closed or not at all.
