Managing Reminders

Overview:

For tasks and important dates, you can set reminders for these to make sure that they are done on time by you or your employees. We'll see how to do just that, and which tasks and dates you can set reminders for in Omni HR.

 

Adding Reminders:

  • Go to Settings > Reminders > Add Reminder.


  • In the pop-up, toggle the button "Send notification by email" if you want the reminder to be sent to the recipient's email. If not ticked, the reminder will just be sent to the recipient's notifications.
  • Afterwards, you may now select the Reminder Type. The succeeding steps to be filled up will depend on the type you choose. Let's go through each in detail:

    • Tasks- Choose this to remind employees to complete outstanding tasks.
      • If chosen, Reminder Event and Recipient are filled up automatically with Upcoming tasks and All employees with assigned tasks respectively. 
      • Set the send date for the reminder afterwards. You may choose between days, weeks, and months before the due date for the reminder.
      • At the bottom-left, there is a box named "Remind daily when task is overdue". Tick this to send a daily reminder to your employees until the task is completed. 
      • Click Save once you are okay with the details.
    • Time off- Choose this to remind employees when their time off balances expires, or when their policies ends.
      • If chosen, you can choose between Policy end date and Carryover expiry date in Reminder Event, and choose the Time off type. You will then pick the Time off policy based on the Time off type chosen. 
      • The Recipient is automatically set to "All employees with the assigned time off policy".
      • Set the send date for the reminder afterwards, then you can choose between days, weeks, and months before the due date.
      • Click Save once you are okay with the details.
    • Important dates- Choose this to remind employees about 3 important dates — hire date, ID expiry date, and last day of work.
      • If chosen, you can choose between the 3 important dates, and choose the recipient.
        • The recipient chosen will be based on the set roles in Access Control.
      •  Set the send date for the reminder afterwards. Like the previous, you can choose between days, weeks, and months before the due date. 
      • Click Save once you are okay with the details.
    • Performance review- Choose this to remind employees to complete outstanding performance reviews.
      • If chosen, Reminder Event and Recipient are filled up automatically with Performance Review End Dates and All employees with outstanding performance reviews respectively.
      • Set the send date for the reminder afterwards. You may choose between days, weeks and months before the due date for the reminder. 
      • Click Save once you are okay with the details
      • Note: By default, for all organisations that have performance installed, there will be a default reminder created, and sent to all employees with assigned performance reviews, 1 week before the event due date (each performance cycle’s due date)

  • The recipients should now receive the notifications based on the send dates set.
