Migrating Time Off Histories in Bulk

Overview:

The process of bulk time off histories migration usually takes place during the implementation phase. However, in the event that an Admin requires to mass import additional transactions post-implementation, this guide will walk you through the process.

Step 1. Download the Template

  • Download or make a copy of the official Time Off Histories Migration Template from this link.


Step 2. Fill-up the template accordingly.

  • Populate the template with employee time off data. Below are the field requirements and important notes: 
  • Column A (System ID)

    • Obtain this from the Employee List Report via the Reports module.

    • The first column in the report contains the System ID for each employee.

  • Column B (Time Off Type)

    • Enter the exact Time Off Type taken by the employee.

    • Ensure that this type is already entitled to the employee, otherwise the entry will be rejected.

  • Column C (Start Date)

    • Input the Start Date of the time off in the format DD/MM/YYYY

  • Column D (Start Duration)

    • Specify the duration unit for the start date. Accepted values are:

      • Full day

      • Half day (AM)

      • Half day (PM)

      • Quarter day (2 hours)

    • The input must match exactly (verbatim), otherwise the entry will be rejected.

  • Column E (End Date)

    • Input the End/Last Date of the time off in the format DD/MM/YYYY.

  • Column F (End Duration)

    • Specify the duration unit for the end date if the leave spans multiple days.

    • Use one of the accepted values listed in Start Duration.

    • Example: If an employee takes 2 days, input both Start Duration and End Duration.

  • Column G (Remarks) (Optional)

    • Recommended to leave it blank by default, in case your system configuration requires it.

    • If you have a remark available (e.g., “Medical Leave”), enter the specific remark.


Step 3: Submit the File for Import

  1. Review and validate your file for accuracy.

  2. Email a copy of the completed template to support@omnihr.co.

  3. The support team will:

    • Import the data from the backend.

    • Assist with discrepancies, if any are found.


Once all entries are successfully migrated into Omni HR, our support team will confirm completion with you.
